Templates Index View

You can access Templates directly from the Navigation menu on the left-hand side of your Odyssey interface. This dedicated section empowers you to seamlessly view, create, edit, and manage both container templates and item templates, ensuring a consistent and logical structure for your entire collection.

The Templates view presents a comprehensive table of your template records. For your convenience, Odyssey comes equipped with 12 standard container templates and 24 standard item templates, offering a robust foundational set for diverse collection types. It's important to note that only non-standard (custom) templates are equipped with the Edit and Delete icons and signifying their full configurability; standard templates, by design, are not editable but provide a Duplicate icon so they can used as a starting point for a custom template. The type of template you're currently Browsing (container versus item) is clearly reflected in the breadcrumbs for straightforward navigation. Odyssey provides a dropdown filter to easily switch between viewing standard and custom templates as needed.

For a quick overview of available metadata fields within any template, simply click the arrow on the far right of the template row. You can organize the template list by clicking on the Template name column header. Should your collection of templates be extensive, a "Search here" box is available for quick retrieval, and pagination controls will appear for easy navigation if more than 10 templates are present.

An owner role within Odyssey is granted a crucial level of control over the visibility of templates to other account users, ensuring that only relevant and approved structures are accessible for data entry.

Specifically, owners can utilize the Visibility Toggle (represented by an eye icon) for each template. By clicking this icon, an owner can choose to either display or hide a particular template. When a template is designated as hidden, it will no longer appear as an option for other users when they are creating new items or selecting template types throughout the Odyssey platform. This empowers owners to manage the active template schema, preventing the use of outdated, unapproved, or irrelevant templates, and maintaining the integrity and focus of data collection across the institution.

Visibility Icon

The Visibility Toggle (eye icon) allows owners to control which templates are accessible to account users. By hiding a template, it no longer appears as an option for new container or item creation.

Duplicate Icon

The Duplicate icon provides an efficient method for expanding your template library. It instantly generates a copy of an existing container or item template, which can then be independently customized to meet new collection needs.

Edit Icon

The Edit icon provides comprehensive control over custom templates, allowing users to modify names, redefine metadata fields, adjust display properties, and configure advanced viewing options to precisely tailor each template to evolving collection needs. 

Delete Icon

Selecting the Delete icon initiates a crucial step in template management. Upon clicking, a clear confirmation prompt will appear, asking you to confirm your intent to delete the template. This safeguard ensures that all actions are intentional, protecting the integrity of your collection structure. Templates with active, non-deleted items currently referencing them cannot be deleted.
